I am a sole trader operating as Caroline Barden Proofreader. I offer proofreading and copy-editing services to authors and businesses.
This policy describes how I protect and make use of the personal information that you give me.
Information that I collect from clients:
- Contact postal address
- Email address
- Phone number in some cases
- Project-related documents and files
I use your personal data for the following:
- To keep in touch with you while I am working on your documents
- For my accounting processes (invoices and bookkeeping)
- For compliance with the UK tax authority (HMRC)
Where do I keep this information?
I keep your personal data and project documents on my password-protected computer, so that I can keep in touch with you while I work. I regularly back-up the files to an external password-protected hard-drive.
Email addresses are kept on my passworded email account.
I do not use Dropbox or iCloud storage.
How long do I keep the data for?
I keep your personal data i.e. name, address and invoice details, for 7 years as required by HMRC.
I will also keep your project files so that I can be consistent with style if I work with you again. I will, however, be happy to delete your files if you request this.
If I have your details in order to provide you with a quote but then you don’t become a paying client, your details and any project files will be deleted.
Sharing your data
I do not share your data with anyone, unless this has been specifically agreed in writing, except under my legal obligations to HMRC.
I do not subcontract work.
If you provide me with a testimonial I will include this on my website or social-media account. I will agree with you in advance what personal details I will include with this testimonial.
